Your Role:
We’re building the operational backbone of a fast-moving, multi-channel Marketing organization, and this role is a key part of that engine.
As a Marketing Business Operations Associate, you’ll be hands-on in making sure campaigns, leads, and reporting actually work the way they’re supposed to. You’ll turn plans into execution, keep work moving, and help ensure Marketing runs with consistency, clarity, and momentum.
This is an execution-first role where details matter. You’ll partner closely with senior Marketing and Operations leaders to translate priorities into clean workflows, accurate tracking, and repeatable processes, so leadership can stay focused on strategy while you keep the machine running smoothly.
Responsibilities:
Lead Management & Campaign Operations
Support the Marketing Sales lead handoff process, including routing, tracking, and follow-up coordination
Build and manage post-event and post-campaign cadences and sequences in partnership with Marketing and Sales
Ensure leads are accurately tracked, statused, and progressed through defined workflows
Support adherence to agreed SLAs and follow-up expectations
Balance structure with flexibility in an evolving environment.
Project & Execution Support
Build and maintain project plans in Asana for Marketing initiatives
Track action items, dependencies, and timelines across workstreams
Maintain Marketing intake requests and ensure work is properly scoped and routed
Proactively flag risks, blockers, or delivery delays
Reporting, Dashboards & KPIs
Build and maintain dashboards in HubSpot to support Marketing reporting
Track and report on key Marketing KPIs (lead volume, follow-up status, campaign performance, etc.)
Prepare weekly and monthly reports for Marketing leadership
Support development of QBR decks, including data pulls, charts, and narrative summaries
Process, Intake & Governance
Manage Marketing intake workflows to ensure requests are documented, prioritized, and tracked
Document workflows, operating procedures, and playbooks
Support creation of repeatable, scalable Marketing processes
Ensure consistency in how Marketing work is executed and reported
Operational Enablement & QA
Maintain operational trackers, dashboards, and documentation
Support QA checks for campaigns, lead handoffs, and reporting accuracy
Help standardize templates, tools, and reporting structures across the Marketing team
Job Requirements:
Hands-on experience with HubSpot or similar marketing automation / CRM platforms
Strong analytical and reporting skills with comfort pulling and validating data
Highly organized with strong attention to detail
Proficiency with Asana, Google Workspace, and spreadsheets
Ability to follow defined processes while managing multiple tasks in parallel
Strong problem-solver with a track record of untangling issues and moving teams forward.
Collaborative and resourceful; thrives on building processes from scratch.
Brings a positive, level-headed attitude — steady under pressure, approachable, and able to lighten the mood appropriately.
Success in This Role
Lead handoffs are clean, timely, and consistently executed
Campaign follow-up processes are reliable and repeatable
Dashboards and KPI reporting are accurate and up to date
QBR and leadership reporting materials are well-organized and data-driven
Marketing operates with greater clarity, visibility, and reduced operational friction
Physical Requirements:
Working out of the Mountain View, California office according to our “Global Hybrid Working Policy.”
Travel Requirements:
Up to 10% travel for events, client visits, and internal team gathering
