Position Summary
The Senior Manager or Retirement Plan Administration is a management role with broad responsibility for overseeing the full life cycle administration of ERISA and Non-ERISA retirement plans, with particular depth in ERISA-governed 401(k) and 403(b) plans. This role is designed for an experienced professional who brings technical expertise, sound judgment, and strong leadership skills to guide teams, support clients, and partner cross-functionally across the organization.

Key Responsibilities

Retirement Plan Administration & Oversight: Provide leadership and oversight for the full cycle of ERISA retirement plan administration, including eligibility, contributions, distributions, loans, corrections, and operational compliance. Administer and oversee both ERISA and Non-ERISA 403(b) plans, with a clear understanding of regulatory, operational, and fiduciary distinctions. Serve as a senior internal resource on ERISA, IRS, and DOL regulations, offering guidance on complex and non-routine plan matters.
Compliance Testing & Government Filings: Oversee annual compliance testing, including ADP/ACP, top-heavy, coverage, and other required nondiscrimination tests. Review and ensure the accurate and timely preparation and filing of Form 5500 and related schedules. Partner with plan auditors, advisors, and internal stakeholders to support audits, corrections, and regulatory inquiries.
Plan Documents & Recordkeeping Collaboration: Demonstrate strong working knowledge of ASC or FT Williams plan document platforms. Collaborate closely with the Plan Document team on plan design, amendments, restatements, and regulatory updates. Partner with Recordkeeping teams to ensure alignment between plan documents, system configuration, and operational execution.
Client-Facing Leadership & Internal Partnership: Act as a senior, client-facing administrator for key and complex plans. Support Plan Sales by providing technical insight on plan design, compliance considerations, and administrability. Work closely with Client Onboarding and Conversion teams to ensure smooth implementations, data accuracy, and operational readiness. Communicate confidently and clearly with plan sponsors, advisors, and internal leadership.
Team Leadership & Outsourced Resource Management: Lead, mentor, and oversee outsourced or offshore administrative teams, ensuring consistency, accuracy, and service quality. Review work product for compliance and completeness rather than performing routine data entry. Establish and refine workflows, controls, and best practices across plan administration. Contribute to process improvement, scalability, and operational efficiency initiatives.
Perform other duties and responsibilities as assigned based on business needs.

Key Metrics for Impact (KMIs)

Ensure accurate and timely completion of annual compliance testing and government filings across assigned plans
Maintain high standards of operational compliance and audit readiness for ERISA and Non-ERISA retirement plans
Support successful plan onboarding, conversions, and implementations through cross-functional collaboration
Provide effective oversight of outsourced administrative resources to ensure quality and consistency
Serve as a trusted internal and client-facing subject-matter expert on complex retirement plan matters
Contribute to process improvements that enhance scalability, efficiency, and client experience

Required Qualifications

8+ years of progressive experience in retirement plan administration
Deep expertise in ERISA-governed retirement plans and demonstrated experience with Non-ERISA 403(b) plans
Strong background in compliance testing and Form 5500 preparation and review
Hands-on familiarity with ASC or FT Williams plan document systems
ASPPA credentials (QKA, QPA, or similar designations) preferred
Prior recordkeeping experience strongly preferred
Proven experience managing outsourced, offshore, or distributed administrative teams
Demonstrated ability to work cross-functionally with Plan Sales, Client Onboarding, Recordkeeping, and Plan Document teams
Strong written and verbal communication skills with a client-focused mindset

Work Environment & Physical Requirements
This role may be performed in a hybrid or remote capacity, or fully in person in Colorado Springs, CO or Oakbrook Terrace, IL, with minimal travel required. Requires regular computer-based work and the ability to sit or stand for extended periods.

Work location and arrangement may be adjusted based on business needs and in compliance with applicable law.

Compensation
Pay Rate: $60,000-$85,000 annually
The anticipated salary ranges for highly qualified individuals, commensurate with experience and qualifications.

Career Progression Defined progression for this role has yet to be established. As such, there is no set timeline for promotion; advancement will be based on individual performance and organizational business needs.
