*Operations Manager*
_\*Must reside in and be authorized to work in the United States.\*_
As the Operations Manager, you will assist with the smooth daily execution and organization of a growing digital marketing agency. Reporting directly to the Executive Vice President, your role will involve managing a small team of direct reports and serving as the central hub for agency administration. You will be expected to successfully oversee client onboarding, manage general administrative duties, assist with some billing and finance tasks, and assist with HR tasks such as hiring, employee onboarding, and offboarding.
The ideal candidate for this position must possess experience working in some operations capacity within a digital marketing agency, have project management experience, and familiarity with hiring and onboarding. You should be able to jump between various types of tasks with ease. You will be detailed and accurate, ensuring that nothing slips through the cracks while supporting the agency's continued growth.
*Key Functional Area or Responsibility:*
_*Administrative and Operational Leadership:*_
* Lead and manage a small team of administrative support staff, providing direction and oversight to ensure daily office and virtual operations run efficiently.
* Oversee the agency’s administrative functions, ensuring that internal processes are updated and executed accurately and effectively
* Assist with various billing and finance tasks.
* Demonstrate the ability to switch context rapidly, handling a variety of operational tasks.
* Be tech-forward and ready to test new tools and processes, especially using AI and automations to increase efficiency.
_*Client Onboarding and Experience:*_
* Oversee the client onboarding function (not client-facing), ensuring that new clients are transitioned smoothly from sales to account management.
* Ensure client contracts, project management setups, and communication channels are established accurately and on time.
* Monitor the quality of the onboarding experience to uphold the agency's standards and ensure client satisfaction from day one.
_*HR Support and Team Lifecycle:*_
* Assist with Human Resources functions, acting as a key support resource for the broader management team.
* Assist with job posting, interviews, and hiring.
* Oversee the logistical aspects of employee onboarding, ensuring new hires have the equipment, access, and training materials they need to succeed.
* Oversee employee offboarding tasks, ensuring state laws and security protocols are followed and assets are returned and processed correctly.
_*Process Accuracy and Quality Control:*_
* Maintain a high level of accuracy and attention to detail in all administrative and operational outputs.
* Review and refine operational workflows to minimize errors and improve efficiency across the agency.
*Qualifications:*
* 3+ years experience working in a digital marketing agency environment.
* 2+ years experience working remotely with a team.
* Previous operations and management experience with the ability to lead direct reports effectively.
* Project management experience, using tools such as ClickUp.
* Experience with HR tasks such as job posts, hiring, employee onboarding and more.
* Experience with and high comfort level in using AI to improve and enhance processes.
* Exceptional attention to detail and accuracy; you are the person who catches errors others miss.
* Ability to jump between various types of tasks, managing multiple priorities in a fast-paced setting without losing focus.
* Strong organizational and prioritization skills with a proactive approach to problem-solving.
* Experience with agency tools (e.g., Slack, Project Management software, CRMs, HR platforms) is preferred.
* Desire to constantly learn new tools and processes and seek out training opportunities.
