Position Summary
This role is the operational heartbeat of AWHC—ensuring the executive director, leadership team, and board function smoothly, efficiently, and with trust. The operations & executive support manager is part executive assistant, part office manager, part organizational glue—holding systems, schedules, documentation and culture together.
Key Responsibilities
Executive Support
Manage Executive Director’s calendar, inbox triage, meeting preparation, follow-ups, and travel logistics
Draft correspondence, board communications, and briefing materials
Coordinate donor meetings and scheduling
Maintain confidentiality and discretion in all matters
Office & Organizational Operations
Oversee day-to-day administrative operations including vendor management, subscriptions, file systems, and document control.
Maintain centralized organizational calendars, deadlines and workflows
Track contracts, insurance policies, compliance requirements, and renewal schedules
Serve as first point of contact for internal operational questions.
Route incoming mail and documents to appropriate staff members
Board & Governance Support
Coordinate board meetings including scheduling, agenda preparation, minute-taking, materials distribution, and follow-ups
Maintain board rosters, committee lists, and governance documentation
Culture & Team Enablement
Maintain personnel files and ensure HR documentation compliance
Coordinate onboarding and offboarding logistics including equipment provisioning, system access, and required documentation
Support internal announcements and team rituals
Champion organizational health and internal communications rhythm
Special Projects
Support event logistics, retreats, leadership offsites, and partner convenings
Assist with cross-departmental project management
Success Metrics (Examples)
Executive satisfaction & responsiveness
Board meeting readiness and follow-through
Reduction in missed deadlines or dropped tasks
Team feedback on operational clarity
Qualifications
5+ years in executive assistant, office management, or operations roles, preferably at a nonprofit
Exceptional organization, follow-through, and discretion
Comfort operating in fast-changing nonprofit environments
Tech savvy with G-Suite, Slack, Zoom, CRMs and project management tools
Strong written communication skills
Schedule and Work Environment
Typical Schedule: Monday through Friday, 8 a.m. – 5 p.m. local time. Reasonable accommodations will be provided as required by law.
